Thanks for those who participated in the clean up. This will be the official kick off for the true paperless office. Let's see how we will be doing by the end of the year.
There were so much paper accumulated over 10 years. It was also a learning experience to see the memos in some of the workpapers. I realized that some memos must have made sense when written, but after a couple of years are hard to understand. We need to do a better job in writing the memo so that even others can immediately grasp the situation later on.
Also, it is very important to decide what to do and finish it as soon as possible. There were a lot of papers, such as notices without any documentation of what happened to it. We should not leave a notice in a client's file without writing if it was solved, how it was solved. Now after going paperless, the notice should be scanned and if solved, the outcome should also be scanned in to the same folder. This process needs to be given a little more thought and documented as a standard practice.
And one more thing is the paper for outsourcing. We should agree with the client before the engagement about who will be keeping the originals and how the originals will be returned. Outsourcing will accumulate a lot of paper.
These are some of the things I realized through the clean up process. Let's make this a start for making our work space nice and fun. We may even need to paint the walls with pictures!
